Position Summary

The role of the Administration Assistant reports to the Executive Director Applications & IT Portfolio - Administrator. This position is responsible for administrative support for the administration team.

Essential Position Responsibilities

  • Manage calendars and schedules through appropriate software
  • Schedule meetings with multiple participants across various departments, entities, and partnerships
  • Answer and direct telephone calls in a professional manner
  • Prepare and disperse mail and deliver sensitive materials and information, as appropriate
  • Prepare agendas and communicate effectively with appropriate stakeholders
  • Record and transcribe meeting minutes, as needed
  • Assist with preparation of itineraries and arrangements for in-person visits
  • Prepare projects for supervisors, as requested
  • Code and process invoices

Qualifications

  • Education: High school diploma or GED, required. Bachelor’s degree in a related field, preferred.
  • Licensure and Certifications: N/A
  • Experience: Minimum 2 years’ experience in an administrative healthcare support role, required.

Work Environment: This position spends 80% of time sitting while performing work in a standard office environment and 20% of time standing and/or walking while pushing, pulling, lifting, and/or carrying up to 50 lbs.
