Position Summary

The role of the Volunteer Program Manager reports to the Director of Hospice Services in partnership with the Vice President. This position is responsible for the overall administration, coordination, and evaluation of the hospice volunteer program.

Essential Position Responsibilities

  • Defines, develops and evaluates the roles of administrative, community, and patient volunteers in accordance with state and federal regulations.
  • Ensures organization is providing day-to-day administrative and/or direct patient care services in an amount that, at a minimum, equals 5 percent of the total patient care hours of all paid hospice employees and contract staff per the level of activity standard of the conditions of participation from Medicare.
  • Responsible for documenting and demonstrating ongoing efforts to recruit and retain volunteers ensuring compliance with the Medicare conditions of participation.
  • Creates, facilitates, and maintains records of volunteer orientation, training and in-services that are consistent with hospice industry standards as required by the Medicare conditions of participation.
  • Assigns volunteers to patients and families on the basis of program needs and the volunteer’s interests and skills.
  • Documents and maintains records of the work time spent by volunteers occupying all volunteer positions within the hospice organization.
  • Functions as a liaison between the clinical / administrative staff and volunteers.
  • Participates as a member of the IDT, participating in the development and review of the hospice plan of care and attends 2 IDT meetings weekly.
  • Recruits, screens and assigns volunteers to meet the needs of patients and families.
  • Documents the cost savings achieved through the use of volunteers ensuring compliance with Medicare conditions of participation.
  • Supervises and evaluates activities of all volunteers to assure volunteers are acting within the scope of their responsibilities to minimize risk.
  • Develops and maintains record of volunteer visits to patients and volunteer statistics.
  • Collaborates with other members of the IDT regarding patient care, bereavement support and pastoral care.
  • Works with other departments to organize and facilitate special events / projects in areas such as community education, health fairs, publicity, and fundraising.
  • Visits patient / families, as appropriate, to interpret the role of the volunteer, to assess needs, and to offer volunteer support services.
  • Responsible for maintaining and updating all volunteer personnel files including annual requirements such as TB tests, Flu vaccines, current copy of auto insurance, current copy of driver’s license as well as records of attendance at in-services and training.
  • Creates and updates all volunteer job descriptions for each position that is held by a volunteer.
  • Develops, recommends and oversees compliance of the volunteer program policies and procedures; prepares and maintains handbook on policies and procedures.
  • Manages related expenditures in a fiscally responsible manner and in accordance with the program budget.

Qualifications

  • Education: High School Diploma or GED
  • Licensure/Certifications: Valid Arkansas driver’s license and liability auto insurance
  • Experience: Requires good communication skills, self-motivated, and detail oriented. Completion of high school studies or equivalent. College degree preferred. Strong understanding of and ability to articulate the hospice philosophy, previous volunteer management experience preferred

Work Environment: This position spends the majority of time sitting (up to 80% of work time) with frequent walking of short distances (up to 20% of work time). This position performs repetitive type motions (up to 60% of work time).
