Role summary:
The (USA) Coordinator, Facilities Maintenance plays a critical role in managing maintenance requests, coordinating vendor services, and ensuring timely resolution of facility and equipment issues. This position involves overseeing work orders from initiation to completion, auditing data accuracy, processing invoices, and supporting administrative functions. The coordinator collaborates with multiple stakeholders to develop scopes of work, monitor service quality, and implement process improvements. A strong focus on compliance, integrity, and effective communication supports operational excellence and contributes to maintaining safe, efficient, and well-maintained facilities across stores and clubs.
About the team:
The team leads process improvement initiatives for Upstream Facility Services, focusing on optimizing tools and equipment management. They oversee supplier relationships, monitor performance metrics, and drive continuous improvement through data analysis and collaboration with Field Operations, Procurement, Finance, Technology, and Safety teams. Utilizing advanced analytics and AI, the team supports proactive decision-making, cost optimization, and process standardization. Their efforts ensure service quality, cost control, and sustainable improvements throughout the tools and equipment lifecycle, significantly contributing to the organization’s operational excellence and efficiency.
What you'll do:
  • Manage maintenance requests by processing work orders from initiation through completion, ensuring accurate categorization and timely resolution.
  • Coordinate vendor dispatch and oversee service quality, pricing, and compliance with contractual agreements.
  • Audit project files and asset management data to maintain accuracy and support cost analysis.
  • Process and resolve invoice discrepancies through collaboration with accounts teams and vendors.
  • Provide administrative support including scheduling, documentation, reporting, and payroll processing for maintenance personnel.
  • Develop and implement process improvements by collaborating with stakeholders and monitoring operational performance.
  • Ensure compliance with applicable laws, company policies, and ethical standards in all maintenance activities.

What you'll bring:
  • Proven experience in vendor and asset management within facilities maintenance or related operations.
  • Strong project management skills, including coordinating work orders from initiation through completion.
  • Proficiency in data analysis to audit records, resolve invoice discrepancies, and generate detailed reports.
  • Ability to manage administrative tasks such as scheduling, documentation, and payroll processing accurately.
  • Excellent communication skills to collaborate with vendors, store managers, and internal teams effectively.
  • Knowledge of compliance requirements related to labor laws, safety, and company policies.
  • Demonstrated problem-solving skills to identify improvement opportunities and support continuous process enhancements.

The hourly wage range for this position is $21.00 - $40.00* *The actual hourly rate will equal or exceed the required minimum wage applicable to the job location. Additional compensation in the form of premiums may be paid in amounts ranging from $0.35 per hour to $3.00 per hour in specific circumstances. Premiums may be based on schedule, facility, season, or specific work performed. Multiple premiums may apply if applicable criteria are met.
