What you'll do
- Project Coordination:
- Research and identify options, resources, and cost efficiencies within established timeframes.
- Establish dates, timelines, and agendas.
- Identify and coordinate specific technology needs.
- Organize and schedule pre-travel preparation and business needs.
- Act as a coordinator or liaison for visiting associates and guests.
- Calendar Management:
- Handle administrative aspects of calendar management for leadership and team with minimal or no supervision.
- Coordinate appointments and understand calendar needs.
- Anticipate and identify time requirements for pre-meeting work.
- Monitor and maintain calendars and the use of meeting rooms or facilities.
- Communication:
- Construct electronic, verbal, and written communications for leadership.
- Follow up with requests to ensure resolution.
- Communicate with senior leadership to gather information and resolve issues.
- Draft and send communications on behalf of supervisor.
- Review content and edit documentation.
- Receive, review, and prioritize incoming messages.
- Data Management:
- Coordinate with other areas to collect data and information.
- Compile, forecast, and reconcile divisional data.
- Identify and escalate risks and concerns.
- Create and maintain reports, reporting tools, and templates.
- Maintain security and confidentiality of sensitive information.
- Receive, interpret, and process invoices and expense reports.
- Review for exceptions and make time adjustments.
- Leadership Support:
- Serve as associate contact and resource.
- Obtain information and offer solutions to filter and prioritize requests for leadership time and attention.
- Mentor, offer guidance, and delegate to other assistants.
- Resolve internal and external customer requests.
- Develop, maintain, and work within an internal network to share and escalate information.
- Conduct technical coordinator activities.
- Expertise Application:
- Provide expert advice and guidance to others in the application of information and best practices.
- Support and align efforts to meet customer and business needs.
- Build commitment for perspectives and rationales.
- Business Solutions Implementation:
- Build relationships and partnerships with key stakeholders.
- Identify business needs and determine necessary processes and practices.
- Monitor progress and results.
- Recognize and capitalize on improvement opportunities.
- Adapt to competing demands, organizational changes, and new responsibilities.
- Compliance and Ethics:
- Model compliance with company policies and procedures.
- Support company mission, values, and standards of ethics and integrity.
- Demonstrate and assist others with how to apply these in executing business processes and practices.
What you'll bring
- Ability to identify business value and create compelling business cases to gain alignment for new initiatives.
- Proficiency in managing a P&L and utilizing performance to drive strategic roadmaps.
- Exceptional communication skills to convey data and information clearly and concisely.
- Enjoy working collaboratively but can execute projects independently and confidently.
- Passion and tenacity for solving customer/Member problems.
- Thrive in managing and effectively influencing/partnering across large matrixed teams.
- Demonstrated experience in project management

The annual salary range for this position is $45,000.00-$80,000.00
Additional compensation includes annual or quarterly performance bonuses.
