About UHP

UHP (Unlock Human Potential) is a fast-growing, veteran-focused certification and leadership development organization on an 800-acre campus with state of the art facilities in Northwest Arkansas. We train service members, veterans, and civilians through immersive 19-day programs that produce certified fitness, health, and nutrition coaches. Our mission is simple: give veterans a new mission, a new community, and a pathway to a better life after service.

UHP is scaling rapidly. Admissions volume is expanding month over month, and we are building the team to support 100+ students per month by mid-2026 and 150–200 students per month by the end of 2026.

Position Overview:

The Enrollment Coordinator (School Certifying Official or SCO) owns the student journey from post-application → Day 1 arrival. This role eliminates friction, removes uncertainty, verifies funding eligibility, manages VA/VR&E processes, ensures accurate certification, and partners with Admissions Advisors to drive students toward arrival and graduation.

This is a high-touch, human-centered role. You are the connective tissue between veterans, Admissions Advisors, and campus operations. You protect the student experience and you protect the VA compliance posture of UHP.

Core Responsibilities:

Funding & VA Compliance (Primary Function)

  • Serve as the School Certifying Official (SCO) for all GI Bill–eligible students.
  • Manage SCO responsibilities within the VA’s Enrollment Manager system, including:
  • COE verification
  • Enrollment certification
  • Amendments, adjustments, terminations
  • Student file documentation and compliance record keeping
  • Own accuracy and compliance for all VA certifications—zero tolerance for errors.
  • Serve as UHP’s internal expert on VA, VR&E, and scholarship eligibility rules.
  • Guide students through VR&E steps end-to-end (intake meeting, case manager coordination, documentation, approvals).
  • Communicate funding timelines, expectations, and required documentation clearly and proactively.

Enrollment Pipeline Management

  • Own the Enrollment Pipeline in HubSpot (SCO Review → Funding Complete → Travel Confirmed → On-Site).
  • Partner with Admissions Advisors to keep deals constantly moving; close gaps before they become problems.
  • Maintain warm, consistent communication with every pending student through funding and travel.
  • Ensure all admissions-created Enrollment Deals have correct properties, documentation, and next steps.
  • Remove administrative burden from Advisors so they stay focused on interviews and conversions.

High-Touch Student Support & Preparation

  • Conduct 1:1 calls with students to walk them through steps, documents, VA processes, and pre-arrival expectations.
  • Proactively identify veterans who are stuck, confused, or slow moving—and get them unstuck fast.
  • Ensure all students feel supported, cared for, and part of something bigger from the moment they’re accepted.
  • Provide ongoing cadence-based nurture leading to arrival.
  • Handle sensitive veteran concerns with maturity, empathy, and professionalism.

Cross-Department Coordination

  • Produce cohort-specific student briefing decks for Coaching, Performance, and Campus Ops:
  • Dietary restrictions
  • Injuries and medical notes
  • Mental health flags
  • Travel details
  • Unique needs
  • Confirm waivers, packing list compliance, travel itineraries, and arrival timing.
  • Coordinate with campus staff on expected headcount, special accommodations, and risks.

Communication & Documentation

  • Manage and track all required documentation: COEs, VR&E approval letters, waivers, IDs, etc.
  • Maintain enrollment compliance documentation with zero gaps.
  • Communicate VA rules and funding timelines in a simple, confidence-building way.
  • Deliver consistent updates to the Head of Admissions and Advisors on student status and risks.

What You Bring:

  • 2–4+ years experience in veteran services, admissions, higher education, compliance, enrollment, or military education benefits.
  • Strong familiarity with GI Bill, VR&E, and DoD/military culture.
  • Proven ability to manage detailed documentation and regulatory processes with accuracy.
  • High emotional intelligence; able to connect authentically with veterans and service members.
  • High responsiveness — you don’t let things sit.
  • Strong multi-tasking and pipeline management ability.
  • Comfortable with evenings/weekends when student needs require it.
  • CRM experience (HubSpot preferred).
  • Bonus: Military background, military spouse, UHP grad, VA/education benefits experience.
