Summary of Job Duties:
The Executive Assistant to the Dean is responsible for a broad range of administrative tasks across several key areas in the College of Education and Health Professions. The main responsibilities will include purchasing, scheduling, room reservations, travel requests/claims, reimbursement claim forms, and inventory/surplus. The position will handle a heavy volume of incoming requests, some of them sensitive and urgent, assist faculty, staff, and students with inquiries and questions, and make appropriate referrals. The Dean's Administrative Specialist will determine and act upon supply needs for the Dean’s Office, assist with special projects and reports, and always maintain a professional and welcoming environment. The position will also assist with various strategic plan action items and help manage the Dean’s calendar. Further, this position will assist with college-level programming and special events, including the functions associated with external relations and engagement, outreach initiatives, and other duties as assigned. The position will report to the Chief of Staff and Executive Assistant to the Dean of the College of Education and Health Professions. Regular, reliable, and non-disruptive attendance is an essential job function of this job, as is the ability to create and maintain collegial, harmonious working relationships with others.
Qualifications:
Minimum Qualifications:
Bachelor’s degree from an accredited higher education institution
At least two years of experience in administrative support
Preferred Qualifications:
Experience with Workday and other University of Arkansas systems
Experience supporting students, faculty, and/or staff
Experience working in higher education
Experience with event planning and meeting coordination
Demonstrated familiarity with a university campus
Knowledge, Skills & Abilities:
Knowledge of record-keeping procedures
Proficient skills in Microsoft Office Suite (in particular, Excel and advanced database management)
Proficient skills in Listserv management and effective communication
Ability to gather information and compile data into report form
Ability to establish and maintain filing systems
Ability to operate standard office equipment
Ability to create/modify and keep material/resources inventory
Ability to work with students, faculty, and staff across the University of Arkansas campus
Ability to be punctual with work and scheduled meetings
Ability to work independently, exercise discretion, and make independent judgments without immediate direction or supervision
Ability to perform multiple tasks and prioritize assignments
