Summary of Job Duties:

The Assistant Director of Operations for the ROAR First Year Advising Center is responsible for coordinating the daily operations of the center by overseeing student intake processes, communications, advisor assignments, data management, and logistics. This position works closely with Admissions, Registrar, Financial Aid, Business Office, and New Student & Family Programs to coordinate communication campaigns and onboarding-related tasks for incoming students. The position manages front-desk operations, supervises student employees, and coordinates the public availability for advisors and enrollment operations. The position works with the Director of Academic Programs Support to facilitate the institution’s waitlist process. The position also advises transfer, nontraditional, and lifelong learners, assists with credit evaluation, and works to support collaborative reenrollment efforts. This position oversees the ROAR case management process, conducts student interventions, and serves on the Admissions Appeals Committee.

The Assistant Director of Operations reports to the Director of First-Year Advising.


Qualifications:

Required Education & Work Experience: Minimum qualifications include a bachelor’s degree and three years of experience in higher education or related field.

Preferred Education and/or Work Experience:

  • Master’s degree

  • Experience in a student-facing position, including academic advising, career services, admissions, or financial aid

  • Experience with student information systems, student success platforms, and/or large-scale communications

  • Leadership experience

  • Experience supervising employees

  • Experience facilitating employee communications and training

  • Experience working with first-generation students and families

Essential Duties and Responsibilities:

  • (15%) Oversee and manage the daily operations of the ROAR First-Year Advising Center by developing and managing intake processes and front counter operations. Closely monitor Admissions application information to determine advising caseloads and assign advisors to entering students. Monitor the volume and content of incoming communications and develop appropriate protocols for response.

  • (15%) In collaboration with Admissions and New Student & Family Programs, develop advising- and onboarding-related campaigns for incoming students. Coordinate advising operational communications with numerous campus partners, including Student Success & Retention, college advising offices, and academic departments. Provide reports to academic leadership regarding information and data needs. Work regularly across campus partners to improve the student onboarding experience and positively affect yield.

  • (15%) Oversee the hiring, onboarding, training, and management of student employees and their daily tasks, which includes providing essential customer service to students and families and auditing, organizing, and indexing documents into appropriate information systems. Ensure student workers are available to the needs of the office and are proactive in addressing gaps.

  • (10%) In collaboration with the Director of Academic Programs Support, provide consistent input of course capacity and student demand, as well as oversee course waitlists. Assist with research projects in Student Success & Retention looking at yield, yearly course demand, and advisor engagement/capacity. Provide feedback to academic leadership on incoming student curricular needs.

  • (10%) Serve as an advisor for transfer, nontraditional, and lifelong learner students. In collaboration with Admissions and other campus partners, support reenrollment efforts for students who have stopped out. At the direction of the Provost, serve on the Admissions Appeals Committee.

  • (10%) Assist students with scheduling appointments, change of schedules, registration assistance, and answering general questions. Support students and families by making appropriate referrals and having detailed knowledge of processes and procedures across campus.

  • (10%) Oversee the ROAR case management process as directed by the EAB Leadership Team. Review notifications and progress reporting for ROAR students. Assign students to advisors for interventions and track the intervention’s effectiveness. Provide feedback to the EAB Leadership Team regarding case management each fall/spring semester.

  • (5%) Oversee purchasing, expense reporting, and other Workday HCM/Finance processes for the First-Year Advising Center.

  • (5%) Actively participate in campus events and programs, including Majors Expo, New Student & Family Program events, Admissions events, and Commencement.

  • (5%) Provide testing and training on student and staff usage of technical platforms, including Workday Student.

Other Duties and Responsibilities:

  • Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork
