Summary of Job Duties:
Position Summary: The Administrative Specialist III will provide administrative, clerical, and program support to enhance and maximize the efficiency and effectiveness of the Center for Economic Development. In addition, this position provides setup assistance and coordination for all classrooms/collaboration spaces as necessary. The position reports to the Associate Vice Chancellor, Economic & Workforce Development.
Qualifications:
Required Education and/or Work Experience: Minimum qualifications include an associate degree, plus four years of clerical experience.
Preferred Education and/or Work Experience: Bachelor’s degree in business or related field strongly preferred. Other job-related education and/or experience may be substituted for part of these requirements.
Essential Job Duties and Responsibilities:
50% Administrative, Clerical, and Program Support
Performs basic reception and clerical duties for the Center for Economic Development
Supports full-time and adjunct faculty instructional needs
Coordinates travel requests and reimbursements for all CED faculty and staff
Maintains files, records, and logs as required
Creates and tracks requisitions submitted by faculty and/or staff
Assists staff with personnel actions, including organization of faculty evaluation materials and preparation of position requests/requests to hire; assistance with employment checks
Assists or prepares correspondence and communication to and from the CED office
Responsible for inventorying and purchasing office supplies and other program resources
Maintains physical inventory for all CED equipment
50% Event Setup and Facilitation
Identify event requirements and expectations and liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
Provide setup assistance and coordination for all classrooms/collaborations spaces as necessary
Setup tables, chairs, and computer/technology equipment as needed
Coordinate setup, facilitation, streaming, and/or recording of events
Assess an event’s overall success and submit findings
Other Job Duties and Responsibilities:
Other duties as assigned.

Working Relationships: The Administrative Specialist III is a member of the CED Team and reports to the Associate Vice Chancellor, Economic & Workforce Development. The position involves extensive contact with university employees at all levels, community leaders, and professional colleagues. Must maintain positive collaboration with regional employers in business and industry. Frequent contact with personnel from other agencies, institutions and the general public is a requirement. Recurrent contact and collaborations with unemployed or underemployed individuals to business professionals at the C-Suite level is typical.

Special Job Dimensions: The position requires some physical demands such as standing for prolonged periods, lifting, bending, pushing, and travel. Work is preformed primarily in an office setting with frequent meetings and events both on and off site. Occasional travel required for attendance at conferences and out of town events. Extended hours sometimes required. Typical office hours are 8:00 am – 5:00 pm.
