Summary of Job Duties:
This Executive Assistant for Greek Life provides confidential executive level support and assistance to the Assistant Vice Chancellor (AVC) for Greek Life. This position also provides administrative support to the Charlie & Cappy Whiteside Greek Life Leadership Center.This position will include excellent customer service delivery, providing support to staff members, managing events and reservations, supervising student workers, updating and maintaining department webpage. This position will also provide critical administrative support to the AVC and all Greek Life staff. This role will welcome students and visitors to the office and will supervise a team of student workers who will provide front desk support. This position is governed by state and federal laws and agency/institution policy.
This position must be able to work independently to meet deadlines, shifting priorities, and an often-demanding schedule. This position will also provide fiscal support including assessing the Greek Fee and maintaining complex budgets, managing chapter rosters, managing procurement and arranging travel. Serves as the primary point of contact to ensure that Greek Life adheres to all relevant policies and procedures, including travel guidelines, PCard usage, and other University requirements. The position will provide budget planning and projections pertaining to Greek Life accounts.
Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.
Qualifications:
Minimum Qualifications:
The formal education equivalent of a bachelor’s degree in accounting, general business, public administration, or a related field
At least one year of experience in accounting or related field
At least two years of experience working in executive administration for a large and dynamic office
Intermediate experience with virtual meeting platforms and Microsoft Office Suite including Word, Excel, PowerPoint, Teams and Outlook
Preferred Qualifications:
At least two years of experience in accounting or a related field
Experience using University of Arkansas Workday system
Administrative experience in higher education or similar environment
Experience in University of Arkansas programs/systems
Knowledge, Skills, & Abilities (KSAs):
Knowledge of research and analysis techniques and methods
Knowledge of work-related subject area
Knowledge of computers and software applications
Knowledge of university and state procurement rules and regulations, accounting principles, data management, and customer service techniques
Excellent oral communication and interpersonal skills
Excellent writing skills with the ability to compose clear, correct, highly professional and effective correspondence and edit and proofread documents as needed
Ability to uphold quality and integrity standards
Proven ability to handle complex and sensitive functions with discretion
Ability to initiate problem solving; and maintain a high level of tact and diplomacy while discreetly handling confidential and sensitive matters with minimum supervision
Ability to effectively coordinate multiple projects and establish priorities among competing demands and to adapt to changes in the work environment
