POSITION DESCRIPTION:

We are seeking a Facilities Manager for I3R. This position requires facilities and utility management as well as space and access management. The manager will be responsible for the safe and reliable operations of a ~144,000 sq. ft. advanced research facility. I3R uses a shared-use arrangement for all facilities and equipment, and all are housed in controlled access areas. The facility includes a human health and innovation wing with a 3-Tesla magnetic resonance imaging suite, a whole-body calorimetry suite, and a sensorimotor assessment and intervention suite, a pre-clinical and surgical intervention wing, a materials and characterization wing with bench labs, an additive manufacturing and prototyping wing that includes a machine shop, an electrical shop, and maker space, a digital transformation wing with extended reality and computational labs, and collaborative conference spaces and offices.

The successful candidate will have exceptional organizational, time management and communication skills and the ability to work effectively on interdisciplinary teams in a fast-paced environment, demonstrating the capacity to work independently and collaboratively. A professional demeanor and the ability to establish effective working relationships are crucial in building trust and influence to accomplish work within a setting that includes a wide array of individuals, groups, policies, and processes.

SUMMARY OF JOB DUTIES:

· Manage day-to-day operations of the I³R advanced research facility; ensure that the facility is maintained at a high level cosmetically and remains safe and secure; facilitate incident reporting related to the facility.

· Coordinate with relevant institute and university teams to develop and implement security standards, protocols, procedures, compliance requirements etc. in relation to the facility.

· Serve as I³R safety coordinator; coordinate with relevant institute and university teams to develop and update emergency preparedness and response plans and procedures in case of emergency; train facility occupants on the safety plan.

· Conduct daily facility inspections and implement proactive maintenance of facility infrastructure and equipment, including HVAC/R, electrical systems, plumbing, boiler, HVAC controls, fire alert systems, grounds, signage, waste, recycling and key access.

· Respond to facility emergencies as needed and restart utilities after power outages.

· Work with appropriate I³R and university stakeholders to ensure compliance of I³R labs; identify compliance issues that may require follow up and/or investigation.

· Serve as the contact with service personnel (e.g., equipment repairs, upgrades, certification of bio-safety hoods, autoclaves, and other pressure vessels) working in the facility building; maintain a current list of outstanding projects and service work orders.

· Coordinate and authorize access to the facility in order to resolve environmental, custodial, and repair issues.

· Control facility access including the automated scheduling of door hours; maintain access lists; order, issues, and collect building access tools (e.g. keys, cards, etc.), as needed.

· Supervise installation/moving of furniture and equipment in labs and offices.

· Schedule training for shared use equipment.

· Maintain equipment and supplies inventory for the facility in coordination with laboratory managers and research area leads; ensure facility assets are tagged.

· Work with appropriate I3R stakeholders and obtain quotes for equipment purchase, repairs, upgrades, and service contracts.

· Monitor suppliers to ensure that they efficiently and effectively provide needed services within budgetary limits (e.g. special gases, etc.)

· Assist I³R Executive Director with management of office and lab space to ensure optimization while supporting I3R goals; Complete annual surveys of I³R space use by different stakeholders.

· Serve as I³R liaison to University of Arkansas Facilities Management and Office of Animal Research Services.

· Cultivate and maintain positive relationships with various I³R and university stakeholders related to the proper operation, maintenance, and functioning of the facility.

· Other duties as assigned.

This position will also train with and serve as alternate building support for the adjacent Nano Institute building when the Nano Institute Building Manager is on vacation or out sick.

Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.


Qualifications:

Minimum Qualifications:

  • Bachelor's degree in facilities management, engineering, business administration or a related field; or an equivalent combination of education and work experience

  • At least five years of experience in facilities management, with at least 2 years in a supervisory role

Preferred Qualifications:

  • Master’s degree or Ph.D. in business administration or related field or a science area related to I³R research

  • Five years of experience in a research field, medical/research facility management, or closely related area

  • Strong knowledge of good manufacturing practices (GMP)

Knowledge, Skills & Abilities:

  • Strong knowledge of building systems, maintenance procedures, and safety regulations

  • Excellent leadership and team management skills

  • Ability to handle multiple tasks and prioritize effectively

  • Strong problem-solving and decision-making abilities

  • Proficiency in budget management and financial planning

  • Excellent communication and interpersonal skills with a growth mindset

Relevant certifications such as Certified Facility Manager (CFM) or Facilities Management Professional (FMP) are preferred.

This position is renewable annually based on continued need for the position, availability of funding, and satisfactory job performance.
