Summary of Job Duties:

Under the supervision of the Director of Special Collections Services, the Research Services Coordinator is responsible for managing the Special Collections reading room and researcher experience. The coordinator manages the day-to-day functions of the reading room and serves as the primary point of contact when communicating and coordinating researcher needs and workflows among units within the Libraries, including Interlibrary Loan, Digital Services, LINX (offsite storage facility), and Shipping & Receiving. This management includes responding to and assisting researchers; coordinating collections and stacks maintenance for collections used by Research Services; responding to researcher reference questions and coordinating referrals to subject specialists, and training all Special Collections staff, faculty, and student assistants who work shifts in Research Services. This position serves as the primary administrator for Research Services’ use of Aeon, a researcher registration and request management software solution, including circulation functions as well as monthly and annual reporting. The coordinator is responsible for reviewing and revising service updates and policies to promote equitable and inclusive access in accordance with professional best practices and creating and maintaining workflows and workflow documentation. This position supervises full-time staff and student assistants and may coordinate work of interns and other temporary staff members. This position contributes to the Special Collections Division and Library goals and priorities as assigned, with a special emphasis placed on outreach.

Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.


Qualifications:

Minimum Qualifications:

  • Bachelor’s degree

  • At least one year of experience working in a library, archives, museum, or related institution

  • Demonstrated experience providing reference and research support in a library, archives, or museum

  • Demonstrated experience creating, maintaining, and documenting workflows

  • Demonstrated experience using and managing software solutions to facilitate and streamline workflows

Preferred Qualifications:

  • At least two years of experience working in a library, archives, museum, or related institution

  • Experience with patron and workflow management systems in a library or archives environment

  • Experience with conducting research with archives and special collections materials

  • Graduate work in libraries, archives, museums, the humanities, or equivalent

  • Supervisory experience of full-time staff members, student assistants, or volunteers

Knowledge, Skills, and Abilities:

  • Knowledge of supporting reference and research needs in a special collections or archives

  • Knowledge of archival finding aids, digital collections, library catalogs, and other library research tools

  • Demonstrated skill in managing computerized data entry processes and running reports

  • Effective written and verbal communication skills

  • Ability to work independently and in teams with community researchers, students, staff, and faculty

  • Ability to balance competing priorities from different stakeholders
