Summary of Job Duties:
The Special Assistant to the Chancellor is a highly motivated and organized professional who provides high-touch, confidential support to prepare and deploy the Chancellor in his day-to-day roles, reporting directly to the Chancellor. This critical role anticipates and addresses the Chancellor's needs, ensuring their day-to-day operations run smoothly and efficiently and works very closely with the Director of Scheduling and Operations, and the Associate Director of Fowler House, Special Events, in the Office of the Chancellor, to assure calendar is current and accurate. A key function of this role is to manage pre-event preparation, post-event follow up, and how to make the Chancellor more effective to better serve the campus and various stakeholder groups. The ideal candidate possesses exceptional emotional intelligence, discretion, and the ability to navigate complex situations while maintaining composure. Responsibilities:
Schedule Management: Working hand-in-glove with the Director of Scheduling, help manage the Chancellor's calendar, prioritizing appointments, meetings, and travel arrangements. Act as a gatekeeper, screening requests and ensuring the Chancellor's time is used effectively. Takes lead on setting and tracking rolling agenda for both SOG and Cabinet working with EA and AA on calendaring meetings.
Executive Briefings: Directs, and sometimes prepares when necessary, comprehensive briefings, including printed packets, and talking points for meetings, presentations, and events, in concert with the Scheduler as needed. Conduct advance research and anticipate potential issues or questions.
Event Support/Handling: Accompany the Chancellor to a variety of events (internal & external) and meetings. Take notes and manage or delegate follow-up tasks as necessary. Provide logistical coordination, awareness of guest list, ensure smooth flow of activities, and manage any unforeseen situations, capture and manage follow-up items that come up, provide handling to assure adherence to the schedule and meets with all necessary principals. Coordinates with Associate Director of Fowler House and Special Events for Chancellor-hosted internal events.
Project Management: Oversee and manage a variety of Chancellor-assigned projects, ensuring timely completion and adherence to established priorities.
Communication & Correspondence Review: Drafts and reviews correspondence, emails, and documents for the Chancellor. Communicate effectively with internal and external stakeholders on the Chancellor's behalf. Coordinate with Executive Communications on messaging strategies and responses. Supports chancellor communications as necessary at a high level.
Travel Arrangements Validation: Assure Director of Scheduling has arranged all travel logistics for the Chancellor, including flights, accommodations, and ground transportation. Ensure all travel documents are in order and anticipate any potential travel concerns.
Strategy, Research & Analysis: Conduct research and prepare reports on relevant topics and issues facing the University. Stay current on industry trends and developments to keep the Chancellor informed. Contribute to strategy development as a thought partner.
Confidentiality & Discretion: Maintain the strictest confidentiality regarding all matters pertaining to the Chancellor and the Office of the Chancellor. Exercise sound judgment and discretion in all situations.
Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.

Qualifications:
Minimum Qualifications:
Bachelor's degree in a relevant field (e.g., Business Administration, Public Administration, Public Relations, Communications, Journalism)
Applicable equivalencies may be considered on the above qualifications.
At least three years of experience in a fast-paced executive or administrative support role
Deadline-driven project management experience
Experience working with executive leadership
Preferred Qualifications:
Strong understanding of higher education administration / working within bureaucratic structures and the Chancellor's role within the University
Strong emotional intelligence, discretion, and the ability to maintain composure in high-pressure situations
Exceptional organizational and time management skills with the ability to prioritize competing demands
Knowledge of, and practiced experience using, protocol and etiquette for high-level interactions
Bilingualism (English and another language) a plus
Superior written and verbal communication skills, including strong interpersonal and diplomatic abilities
Knowledge, Skills and Abilities:
Ability to collaborate across units and build consensus
Ability to travel as required
Proficiency with Microsoft Office Suite, meeting technologies & Power Point
Experience using digital media / social media for communications (positioning and amplification experience a plus)
Critical thinking skills
Ability to be candid and direct, with tact to accomplish goals and meet deadlines
Campus awareness; understanding of operations of UA or large, complex organizations
Broad community engagement experience
