Summary of Job Duties:

The Administrative Assistant position is responsible for providing administrative and clerical support to faculty and staff in the Dean’s Office, BSN program (all options), and ADN program (all options). The position reports to the Executive Director of the School of Nursing/Associate Dean of the College of Health, Education, and Human Sciences.


Qualifications:

Required Education and/or Work Experience: Minimum qualifications include the formal education equivalent of a high school diploma, plus two years of specialized training or experience in the clerical or secretarial field. Other job-related education and/or experience may be substituted for all or part of these requirements.

Preferred Education and/or Work Experience: Prefer an A.A.S. degree in office administration or a selected field plus administrative secretarial experience.

Essential Job Duties and Responsibilities:

  • Provides clerical support to the School of Nursing administration and faculty including preparing communication, surveys, and formal documents on behalf of college and department administration, travel arrangements, appointment scheduling, calendar maintenance, maintaining and inputting faculty teaching and clinical schedules, event preparation and sponsorship coordination, faculty textbook ordering and distribution, prepare and submit requisitions for department purchases, notify faculty of all departmental deadlines, and serve as the secretary for committee and department meetings.
  • Prepares annual accreditation reports for state and national accrediting agencies, assisting with research and data collection.
  • Maintains select outcome data, including exam pass rates and graduation rates.
  • Provide information, assistance, and clarification on institutional policies and procedures to interested parties.
  • Collaborate with and assist department administrators and faculty with the implementation of new nursing programs.
  • Serve as record custodian for faculty and student-required documentation to include background checks, medical information, certifications, and student counseling/incident records and reports.
  • Assist students in the preparation and review of documentation including licensing registration, applications, and medical releases.
  • Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to fosters teamwork and by providing leadership to subordinates. Requires consistent on time attendance.

Other Job Duties and Responsibilities:

  • Prepares and submits departmental work orders through Service Now, prepares PowerPoint presentations as requested, and performs duplication and copying as needed.
  • Maintains sufficient supplies for the office and work unit by conducting a physical inventory, ordering, receiving, and restocking supplies, and maintaining office equipment. Is fiscally responsible.
  • Picks up materials and supplies across campus as needed.
  • Other duties as assigned.
