Summary of Job Duties:

Offers administrative, clerical and program support to enhance and maximize the efficiency and effectiveness of the Industry and Engineering departments. Position supports industry and engineering department heads and faculty, assists with student success and stakeholder engagement initiatives, and maintains faculty/course information essential to the maintenance of programmatic accreditation. Specific support responsibilities include coordination of textbook adoptions, travel, and purchasing. The position reports to Dean of the College of Business and Industry.


Qualifications:

Required Education and/or Work Experience: Minimum qualifications include a formal education equivalent of a high school diploma; plus, one year experience in a clerical field or related area. Other job-related education and/or experience may be substituted for part of these requirements.

Preferred Education and/or Work Experience: Associate degree or equivalent; plus, one year of specialized training in the secretarial field; plus, two years of clerical experience.

Essential Job Duties and Responsibilities:

  • Performs basic reception and clerical duties for the CBI Dean’s office.
  • Supports full-time and adjunct faculty instructional and research needs.
  • Coordinates travel and reimbursements for faculty.
  • Maintains departmental files, records, and logs.
  • Creates and tracks requisitions submitted by faculty and/or student groups.
  • Assists department and college leadership with the organization of programmatic evaluation, faculty evaluation, and program assessment materials.
  • Responsible for inventorying and purchasing office supplies and equipment.

Other Job Duties and Responsibilities:

  • Receives, distributes, or responds to mail/email addressed to the departments as appropriate.
  • Assists with events planning and support.
  • Other duties as assigned.

Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork and by providing leadership to student workers. Requires consistent on-time attendance.

Working Relationships: The Administrative Specialist III has regular contact with students, faculty, and staff as well as occasional contact with the public.

Special Job Dimensions: Work performed primarily in an office/classroom setting. Occasional travel and extended hours required. While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. Required abilities include walking, standing, and sitting for extended periods. Visual demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to 10 pounds.

Salary Information:

Starting salary is $26,000, salary effective 7/1/2024 will be $29,629/year
