Summary of Job Duties:
The Billing Specialist, reporting to the Billing Manager, is a key member of the Research Accounting team. The Billing specialist will be responsible for reviewing awards for bill-to-sponsor name and remittance address, payment type, terms, frequency, and any required information needed at the time of invoice submission. The position will need access and maintain sponsor portals and website needed to submit invoicing to the sponsor. Setup of billing schedules within Workday upon receipt of new award and award amendments and create and submit invoices per sponsor requirement, which includes the preparation of SF270s, the Uniform Guidance 2 CFR 200.415 certification statements, and other billing/cash reports as required by the sponsor. The position also coordinates the billing responsibilities with the Award manager for needed financial information required with invoicing. This position also coordinates with Cash Management on cash deposit and application process in Workday. Other duties also include Federal Cash Drawdown, communication of outstanding invoices over 90 days, creating sponsor refunds, collections, reconciliation of billed, unbilled receivables, grants receivables and cash amounts at year-end, maintaining shared email inbox, maintaining shared files, and other duties as assigned. Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.
Qualifications:
Minimum Qualifications:
Accounting experience or formal education equivalent to a bachelor’s degree in finance, business administration, general business, or a related field
At least two years of experience in customer invoicing and cash collections, fiscal operations, and/or grants management
Preferred Qualifications:
Experience using financial accounting systems such as Workday (preferred)
MBA or equivalent
Knowledge, Skills and Abilities:
Excellent analytical skills (e.g. ability to accurately analyze multiple data sets)
Strong organizational skills, attention to detail, and ability to manage deadlines.
Effective written and oral communication skills (e.g. ability to communicate with others in a clear and professional manner)
