Summary of Job Duties:
Summary of Job Duties1. Greet departmental visitors and create a welcoming environment in the departmental office and assist visitors, faculty, staff, and students in resolving problems and accessing the correct resources
2. General administrative support for faculty, staff, graduate, and undergraduate students. Specific tasks include, but are not limited to:
a. open and close departmental office
b. sign for packages and distribute mail
c. distribute documents for e-signature
d. answer the main departmental phone line and assist callers in resolving problems and accessing the correct resources
e. maintain various computerized and paper files, records, spreadsheets, logs and retrieve information upon request
f. room scheduling for conference rooms, meeting rooms, and classrooms
g. updating and maintaining departmental directory and/or faculty lists in buildings and on departmental website
h. updating and maintaining internal and external (alumni and stakeholder) email distribution lists and assist in developing and distributing professional communications to these groups
i. assemble content and publish departmental e-newsletter
j. assist departmental manager with organizing departmental activities and functions. Occasional work outside of normal business hours may be required.
k. Assist departmental manager with office inventory and order office supplies.
l. Other duties as assigned
3. Assist department head, departmental administrative manager, departmental graduate coordinator, and curriculum committee with teaching and curriculum-related tasks that include, but are not limited to:
a. assist department head and departmental manager in assembling reports and materials requested or required by administration
b. prepare draft graduate offer letters and assist in obtaining necessary signatures
c. maintain departmental graduate student records such as committee membership and progress towards degree
d. assist graduate students with GSIE forms and ensure compliance with GSIE information requests and deadlines
e. assist department head and departmental manager in undergraduate and graduate course scheduling and communications with faculty and students regarding course offerings, location, and timing. Identify potential scheduling conflicts and work with faculty, departmental manager, and department head to resolve scheduling issues.
f. in consultation with department head, assign advisors for undergraduate students after they have completed 60+ hours
Qualifications:
- Minimum Qualifications:
- A bachelor's degree plus two years of experience in program administration or related area.
- Ability to work in a public-facing environment while presenting a welcoming and helpful demeanor. Communication skills to interact with diverse groups of individuals to research, secure, and/or provide information, clarify situations, resolve problems, and ensure cooperation among individuals.
- Organization and time management skills to coordinate projects and people, prioritize and track multiple projects simultaneously, and meet critical deadlines.
- Demonstrated ability to display initiative and work independently with minimal supervision while contributing to the success of a team.
- Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.
Preferred Qualifications:
- High level of computer proficiency including experience with Workday, CourseLeaf, UA Connect, and Adobe Creative Cloud
- Two years’ experience working in a higher education setting.
