Summary of Job Duties:

Located in Fayetteville, AR

Manage Vice Chancellor’s & Assistant Vice Chancellor’s Office
• Central liaison and initial point of contact for VC
• Manage executive meetings with internal and/or external stakeholders
• Prepare itineraries for executive staff and guests
• Manage all aspects of various projects of a complex nature and/or medium size initiatives by identifying appropriate resources needed and developing schedules to ensure timely implementation and execution of strategic plan and initiatives
• 60% works at the direction of the Vice Chancellor to provide support for executive level projects or assignments
• Incumbent will promote, organize, assist, communicate, develop timelines, and affirm goals for all projects
• Manages the daily logistics and corresponding communication for each project
• Ensures documentation and communications are timely and organized. •
• Manages project reporting, including tracking critical steps, outcomes, and deliverables
• Provides an extremely high level of customer service to stakeholders
• Collects and consolidates data
• Serves as a liaison between key stakeholders, staff, leadership, consultants and other partners
• Liaison with external partners, visitors, interdepartmental team members
• Ensure information flow to and from the VC, via all types of venues (forums, correspondence, speeches, conferences, retreats, etc.)
• Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed
• Track, monitor and follow progress of projects, action items, strategies that emanate from the director
• Initiate subsequent follow-up meetings and communication for key stakeholders as directed
• Review correspondence and draft responses for the director as appropriate, or forward to the appropriate person for response and/or reply
• Provides administrative support to the Vice Chancellor and serves as the point of access for the VC
• Manages and oversees calendar to ensure schedule is coordinated and efficient
• Maintain up to date daily locations, virtual or call information for each appointment
• Maintain contact information is up to date for Vice Chancellor

Travel
• Manage travel accommodations for VC and executive leadership
• Process travel reimbursements by ensuring proper documentation and adhering to UAMS guidelines

Events
• Assist to coordinate, plan for any events assigned.

May perform other duties as assigned.


Qualifications:

  • Bachelor's Degree plus four (4) years of administrative or related experience OR a High School Diploma/GED plus eight (8) years of administrative or related experience.
