Crystal Bridges is a museum of American art located in Bentonville, Arkansas. We explore the unfolding story of America by actively collecting, exhibiting, interpreting, and preserving outstanding works that illuminate the American heritage and artistic possibilities. Founded by Alice Walton in 2005, the museum opened in 2011 and is a public, non-profit charitable organization with free admission.

Position Summary:

The Artist Hospitality Coordinator works closely with the Artist Liaison-Company Manager to help coordinate the travel, lodging, and onsite care and hosting of artists, musicians, and chefs during their work the Momentary, including advance planning and budget management. The Artist Hospitality Coordinator will be a problem solver who is detailed-oriented, creative, collaborative and thrives in a fast-paced environment. They will present a passion and social knack for working with living artists. They will utilize strong communication skills, flexibility, and the ability to navigate ambiguity. They will manage last minute changes while maintaining composure.

Principal Responsibilities:

  • Working alongside the Artist Liaison- Company Manager, serve as a liaison between the Momentary and artists and their representatives both before, during and after projects
  • Assist with the scheduling, budgeting and contracting of Momentary projects as they pertain to artist housing, travel, lodging, hospitality, etc.
  • Assist in the development, review, and monitoring of contracts, riders and agreements
  • When assigned, oversee arrival and departure of visiting artists, making sure that artists are well hosted, and are delivered to their appointed rehearsal, performance and studio appointments in a timely and courteous manner
  • Concierge for artists including: tickets to Northwest Arkansas and Momentary events, connection with local artists, information about businesses and services in the area, etc.
  • Assist with booking and building travel and hospitality schedules for visiting artists
  • Purchase, handle, and assemble hospitality items: non-food related rider requirements, culinary rider requirements including beverages, perishable and non-perishable food items, and artist meals
  • Assist in the management and maintenance of the green rooms and artist in residency studios
  • Assist with procurement and management of contract over-hire help including catering waitstaff, caterers, hospitality assistants, drivers, etc for large scale productions such as Live on the Green series and Festivals
  • Be a visible presence around the studios, galleries and performance venues, and a resource for the needs of visiting artist during residencies, rehearsals, and performances
  • Help manage day-of-show artist requests
  • Assist in processing reimbursements for costs related to visiting artists
  • Work with fellow staff to ensure the best available standards of hospitality and inclusiveness for the artists we welcome, and of care and safety for all performers, artists and visual art works at the Momentary and Crystal Bridges
  • Serve as an ambassador for the Momentary and Crystal Bridges
  • Provide building tours as needed
  • Drive museum vehicles when needed
  • Perform additional duties as assigned

Qualifications and Skills:

  • Knowledge of Performing Arts including music, theater, dance preferred.
  • Familiarity with Visual Arts is desirable
  • Experience in the hospitality industry and/or restaurants desirable
  • Proven experience and success in project coordination and in meeting deadlines within fast-paced working environments
  • Professional and approachable, with excellent communication, organizational and interpersonal skills
  • Ability to work independently, as well as within a team
  • Willingness to work weekends and evenings, as required
  • Ability to understand and maintain the highest levels of confidentiality and discretion
  • Experience working in event venues, catering companies and service industry is necessary
  • Experience working directly with Artists is highly desirable
  • Experience with supporting curators, educators, and artists, or equivalent is desirable
  • Valid Driver’s License
  • Ability to handle high-profile/high-touch Artists with a welcoming attitude
  • Proficient in Microsoft Office applications: Word, Excel, Access, PowerPoint, Project, and One Note
  • An understanding of national and international air travel
  • Demonstrated proficiency with database entry and generating reports
  • Ability to interact respectfully, collegially, and professionally with all employees and volunteers at all levels of responsibility
  • Ability and willingness to be a team player both within the department, and throughout the entire organization
  • Ability to maintain the highest ethics as they relate to all aspects of curatorial endeavor, and to understand and maintain the highest levels of confidentiality

  • Physical Demands: Vision and hearing abilities to perform the essential duties as outlined above. Physical abilities required include the ability to perform manual labor including working in indoor and outdoor performing areas. The position requires verbal and written conversation with others. Vision abilities required by the job include close vision and color perception..
  • Work Environment: Work will be performed in an office environment, gallery spaces, theater and concert hall environment, backstage, and other performance spaces, artist studios, and in communities served. The noise level in the work Artist Hospitality Coordinator, The Momentary environment is usually low to moderate with the exception of performances, which often involve high decibel levels. Position may require some independent overnight travel for national and international touring co-productions, research and professional meetings, and other travel as necessary to fulfill responsibilities of the position.
