Purpose of the Position

Performs a variety of duties related to receiving and processing incoming and outgoing mail.

Essential Position Responsibilities - This is a Salary Non Exempt position.

Responsible for post office delivery. Travels to the local post office regularly to pick up and deliver mail. Sorts letters, packages and certified mail by location and recipient. Opens invoices received in the mail by operating a letter opening machine.

Responsible for bank delivery. Travels to local financial institutions daily regularly to deposit cash and checks. Prepares deposit slips to ensure accuracy.

Drives to local facilities for courier route. Drives company vehicles to multiple local locations according to scheduled pickup and delivery route or as directed by manager. Picks up and delivers documents, letters, packages and certified mail to and from company plants and offices. Sorts and distributes delivered documents and packages at each location. Uses professional communication to include maintaining positive and professional language and demeanor.

Maintains Home Office mail-room. Sorts inter-company incoming and outgoing mail for distribution. Prepares outgoing mail for pickup by the mail service daily. Keeps the mail-room clean and in an orderly manner. Orders name plates for new employees and arranges mail boxes according to departments.

Maintains physical filing system. Files accounts payable records into a physical filing system. Periodically inspects documents to ensure correct placement.

Cross trains to cover multiple positions. Occasionally covers for other clerical or administrative positions as needed. Trains associates in the department to be back up for this position. Maintains and updates standard work instructions as needed.

Participates as a member of the Team. Participates in the ongoing development, communication and implementation of team concepts, programs and policies; coordinates work to ensure best practices with all team members. Attends appropriate team meetings. As a member of the Team, fosters strong cohesiveness regarding all major issues; e.g., direction, annual plan, budget, policy changes, etc. Accepts responsibility to quickly identify any areas that lack cohesiveness, bringing them to the attention of the team leader and working with the team in a supportive manner to resolve issues and actively look for ways, and reinforce actions needed, to achieve synergy possible within the larger organization.

Simmons Operating systems principles and objectives: Is familiar with Simmons’ established operating systems (e.g. quality, security, office environment, company policies, LEAN); understands the responsibility to maintain familiarity with the systems and this position’s role in support of these systems - including a consideration of the impact of individual actions on the systems and the responsibility to communicate concerns and improvement ideas.

Physical Activities: Enters and locates information on a computer. Communicates with Customers, Vendors, or Employees via telephone, in person, and/or electronic mail. Sitting, walking and standing. Must be able to lift and carry 20-30 pound mail tubs at waist level approximately 2 times per shift. Must be able to kneel, squat, reach, and lift up to 10 pounds.

Personal Protective Equipment (PPE): As required by visiting facility.

Travel: Drives a company vehicle daily to multiple local facilities in a 60 mile radius

Technical Experience: 1-2 years administrative or clerical experience. Filing and multi-line phone system experience with good verbal skills preferred. Good driving skills and record required. Must maintain a valid drivers license.

Minimum Education: High School Diploma or GED.
