POSITION TITLE: Administrative Assistant – HS Registrar
REPORTS TO: Principal
TERMS OF EMPLOYMENT: 220-day contract with benefits according to Siloam Springs School Board policies
LOCATION: Siloam Springs High School
QUALIFICATIONS:
- High school diploma
- Experience working in a professional office setting
- Strong computer skills, with proficiency in Microsoft Office (Work, Excel, and Outlook) and Google
- Able to operate personal computers, laptop computer, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of skill
- Highly motivated with strong organizational skills; able to coordinate multiple tasks at one time
- Self-starter; able to work independently; organized
- Effective verbal and written communication skills
- Strong telephone and interpersonal communication skills
- Experience with eSchool, eFinance, and YellowFolder is desired
- Knowledge, understanding of and patience interacting with students, parents and community members
- Ability to work as a contributing and flexible team member
- Bilingual preferred
ESSENTIAL JOB FUNCTIONS:
- Inputting and generating of data/information for recordkeeping in multiple software systems
- Enrolling/withdrawing students
- Contacting parents for appointments; meeting with parents/students for enrollment
- Sending for records; maintaining electronic files
- Double checking data for accuracy and entering new data
- Managing McKinney Vento, shot records, agriculture forms
- Sending transfer grades to teachers
- Making folders and test cards for new students to the district
- Answering phones, receiving messages, and responding to inquiries by staff, parents, or patrons of the district
- Preparing reports, compiling data, and distributing information to parties both inside and outside the district
- Preparing correspondences and communications for families, staff, and students
OTHER JOB FUNCTIONS:
- Maintaining confidentiality
- Attending meetings and training as directed
- Presenting and communicating in a professional manner
- Working additional hours or overtime as directed
- Other duties as assigned by the supervisor
