PeopleForBikes is composed of a Coalition, the U.S. bicycle industry's trade association, and the PeopleForBikes Foundation that supports and promotes bicycling's benefits while backing critical infrastructure projects and programs. This role will support both entities. 

Position Summary

The focus of the full-time role will be providing high-level executive assistant support to our President and CEO and some of the leadership team to help them be effective and optimize their work, scale, and reach. While this role supports the CEO, they will report to the Director of Operations + People. 

This is an ideal role to learn about the bicycle industry, the organization’s role in it, and hopefully reinforce an existing passion for cycling. The ideal candidate is extremely organized, with an eye for detail, and helps set up the organization and its individual employees for success. Successful candidates will have exceptional Google Suite and Microsoft skills and working knowledge of AI tools. They will seek to bring organization when there is ambiguity and demonstrate a strong desire to support others' success.

Key Responsibilities: 

Executive assistance

  • Support the CEO’s daily workflow, juggling competing priorities as necessary and making appropriate and informed decisions regarding available time.

  • Schedule internal and external meetings, coordinating all logistics and details, providing relevant preparation materials, and ensure appropriate follow-up.

  • Manage travel arrangements, including international travel, and create detailed itineraries.

  • Provide administrative assistance such as writing, editing, sending thank you notes, and preparing office communications on the CEO’s behalf.

  • Manage projects end-to-end to help others be productive and successful, and institutionalize continuous improvement.

  • Create detailed briefing materials and brief the executive team prior to meetings

  • Lead on discrete and timely research projects.

  • Schedule, compile, and assist with board meeting materials and research.

  • Oversee timely distribution of board reports and internal updates to the staff.

  • Provide support to the board of directors. Schedule and arrange meetings, compile and distribute materials, attend meetings, prepare meeting minutes, and maintain corporate documents.

  • Meeting planning: research, plan, and execute PeopleForBikes board events, including scheduling, packets, and being the point person for catering.

  • Communications support: Help MarComm teams with standard media inquiries, press releases, and social media.

  • Arrange hotels, flights, and other logistics for staff, board members, and event participants.

  • Complete expense reports and reimbursements 

Additional support areas

  • General event management support

  • Onboarding new staff with phones and laptops and other onboarding help

  • Handling info@ email communications and voicemail

  • Package fulfillment

  • Assist with office vendors and service providers

  • Travel to annual conference and board meetings as needed

  • Other duties as assigned

Qualifications

The ideal candidate is sharp, highly organized, and an excellent communicator. You thrive both working independently and collaborating as part of a team. You bring a professional, supportive presence to every interaction with the CEO, the leadership team, employees, members, or external stakeholders. You approach change with enthusiasm, seeing it as an opportunity rather than a challenge.

Required:

  • 8+ years of executive support.

  • Experience creating better systems and templates for future work.

  • Experience with project management tools, AI, and/or Salesforce. Please outline your favorite tools in your cover letter.

  • Exceptional attention to detail with proven project management and organizational skills.

  • Takes initiative and gets work done quickly.

  • Strong customer service ethic and willingness to go above and beyond to help PFB’s customers (PFB Core Value: Put Others First).

  • Ability to step in for people on the leadership team, whether it is to meet, take notes, or entertain customers/members.

  • Exceptional skills in Google Suite.

  • Ability to problem-solve and handle basic inquiries but also escalate important information to executives as needed.

  • Ability to treat confidential information with appropriate discretion.

Compensation and Benefits

This “at-will” position offers a competitive salary commensurate with experience. The salary range will be determined by the selected applicant, with a range of $60,000 to $85,000.

Location

PeopleForBikes is headquartered in Boulder, Colorado, with an additional office in Bentonville, Arkansas. This position may be based in Boulder, Bentonville, or a surrounding community. The role is hybrid and requires in-office work at least one day per week.
