The Northwest Arkansas Home Builders Association (NWA HBA) is the region’s leading non-profit professional association for the residential building industry, representing 385 member companies and over 1,000 individual members across every part of the housing and construction ecosystem; from builders, developers, and skilled trades to architects, engineers, manufacturers, suppliers, lenders, and professional service providers.

MEMBERSHIP GOALS | Grow to 500+ member companies, doubling individual member engagement, and maintaining a minimum 85% member retention rate by 2028, our work focuses on strengthening industry and consumer connections, advocating for builders, smart housing development, and advancing education, leadership, and workforce development.

The role sits at the center of this work, helping members move from their first introduction and onboarding through active engagement, renewal, and long-term involvement. This unique role combines relationship-building, communication, technology, and systems navigation, offering the right person an opportunity to directly shape the member experience and grow alongside an evolving, forward-looking organization.

AREAS OF OWNERSHIP

WE GROW ↔ YOU GROW | Each of the areas of ownership listed below are the primary focus of this role and will increase in responsibility and ownership over time as you acclimate earn the opportunity to take on, maintain, and eventually lead come to own each of the areas list below . The long-term goal of this position is to grow to full management of these core areas and eventually adding and evolving them as the market, industry, and members needs change.

RECRUITMENT, INQUIRIES, & ONBOARDING | Serve as a primary point of contact for prospective and new members, providing timely, professional, and friendly assistance throughout the application and onboarding process. Actively research and engage with potential members and recruit them to join. This includes explaining membership benefits and opportunities, coordinating welcome communications and account setup, helping members complete their profiles, making relevant introductions, and connecting them with events, committees, programs, and resources. The coordinator also follows up with new members to encourage early participation, answer questions, and identify additional ways the Association can support their goals.

RENEWALS, RETENTION, & RE-ENGAGEMENT | The Membership Experience Coordinator supports the full renewal process through organized, consistent, and personalized communication. This includes tracking renewal activity, membership changes, outstanding follow-ups, and potential retention concerns; reaching out thoughtfully to inactive, expired, or at-risk members; and maintaining accurate records of member feedback, cancellations, and renewal outcomes. By documenting this information and identifying recurring trends, the coordinator helps leadership better understand member needs, strengthen retention, and continually improve the Association’s long-term value.

MEMBERSHIP SYSTEMS, DATA, & TECH | The Membership Experience Coordinator helps maintain the Association’s membership management and CRM systems as reliable sources of accurate, up-to-date member information. This includes managing member profiles, website listings, email lists, event-registration tools, digital forms, and related platforms, as well as using Microsoft 365 tools such as Outlook, Word, Excel, Teams, and Forms to support communication, workflows, recordkeeping, and reporting. The coordinator also assists with website updates, segmented emails, digital member resources, and basic performance reporting while protecting member information and following appropriate data-management and privacy practices. Prior experience with every platform is not required; however, strong technological aptitude, attention to detail, curiosity, and a genuine interest in learning, troubleshooting, and improving digital workflows—including integrations, automations, AI-enabled tools, and emerging technologies—are essential.

SPONSORSHIP & PROGRAM SUPPORT | The Membership Experience Coordinator supports sponsors throughout their experience with the Association, from initial outreach and commitment through onboarding, benefit fulfillment, event participation, and follow-up. This includes helping promote and track annual and event sponsorship opportunities, preparing sponsorship materials and communications, maintaining fulfillment records, and assisting with basic reporting. The coordinator also supports event registration, member and sponsor check-in, materials, setup, and other program needs to help ensure that every sponsor and participating member receives a professional, organized, and valuable experience.

KNOWLEDGE & SKILLS

REQUIRED | Qualified candidates will have a bachelor’s degree, at least two years of relevant professional experience, or an equivalent combination of education and experience. They should have direct experience in customer service, relationship management, membership services, administrative support, sales support, program coordination, or a related area, along with strong written, verbal, and organizational skills. Candidates must be comfortable using standard office technology—including email, documents, spreadsheets, calendars, digital forms, virtual meeting tools, and AI-enabled tools—and demonstrate the aptitude to learn databases, CRM platforms, membership systems, and other digital technologies. They should also be able to manage multiple responsibilities, maintain accurate records, complete follow-ups consistently, and communicate professionally with members, prospects, sponsors, partners, volunteers, and staff.

PREFERRED | Preference may be given to candidates with experience in an association, membership organization, nonprofit, chamber, trade group, or service-oriented business, as well as those familiar with the construction, housing, development, building, or design industries. Additional valuable experience includes working with association management systems, CRM platforms, databases, website content-management systems, email marketing platforms, digital forms, event-registration systems, spreadsheets, dashboards, reporting, or data-analysis tools. Experience creating or improving automations, system integrations, AI-enabled workflows, or other technology-supported processes would be especially beneficial.

OTHER REQUIREMENTS | Must be available to work occasional evenings and weekends for Association events and programs. Have the ability to lift and carry up to 25 pounds and assist with event setup and teardown. Possess a valid driver’s license and access to a reliable, properly insured vehicle for occasional local travel.

THE ESSENTIALS

STATUS | Full-time; salaried, non-exempt; overtime eligible

SCHEDULE | Monday–Friday, generally 9:00 a.m.–4:30 p.m., with occasional evenings and weekends

COMPENSATION | Annual salary of $35,000–$47,000, commensurate with experience

REPORTING & COLLABORATION | You will report directly to the Executive Officer and work closely with the Director of Operations. You will also collaborate with a wide range of members, volunteers, sponsors, industry leaders, and community partners.

LOCATION & TRAVEL | This position is based primarily at the NWA HBA office in Springdale, Arkansas, with limited hybrid flexibility as trust and role proficiency are established. Some in-state and occasional out-of-state travel is required. This position is not eligible for fully remote work.

FLEXIBILITY, TRUST & COMMUNITY PRESENCE | We understand that life does not always fit neatly into a work schedule. Here, flexibility is built on trust—and trust is earned through reliability, strong results, and positive impact. The first six months are expected to be primarily office-based, allowing you to learn the Association, build relationships, and demonstrate your capabilities. As you grow into the role, your work will become increasingly community-facing through member visits, membership and sponsorship development, and industry and community events that build relationships and strategically increase awareness of the NWA HBA. Occasional schedule adjustments or remote-work days may become available once trust is established and performance remains consistent. Flexibility depends on responsibilities, required hours, member needs, meetings, and events being fully covered. Autonomy grows with ownership and is maintained through results.
