The Position:

The Warehouse Operations and Receiving Coordinator plays a vital role in supporting the mission of the Northwest Arkansas Children’s Shelter by managing all aspects of the physical receipt, organization, and distribution of donations. This position ensures that all goods received are accurately inventoried, tracked, and distributed in a timely and organized manner to meet the operational and programmatic needs of the Shelter. The Coordinator will also oversee general warehouse operations, maintain accurate records for Development reporting, and ensure the space remains safe, efficient, and well-maintained.

Key Responsibilities:

  • Receive, log, and inventory all donations in coordination with the Development Department.
  • Work with Grants & Stewardship Manager to ensure donor correspondence and acknowledgments are sent timely and appropriate information is included.
  • Evaluate and prioritize donations based on organizational needs, storage capacity, and program relevance.
  • Maintain an organized, safe, and functional warehouse space that supports daily program operations.
  • Track inventory movement to ensure proper storage, rotation, and timely use of supplies.
  • Coordinate deliveries and pickups with vendors, volunteers, and program staff.
  • Conduct monthly and annual inventory audits and submit reports to the Advancement, Development, Operations and Finance teams.
  • Work with Program staff to assess supply and equipment needs and coordinate with the Development team for fulfillment through in-kind resources.
  • Communicate regularly with the Development team regarding high-need items, donation trends, and inventory status.
  • Support special projects, events, or volunteer donation drives as needed.
  • Assist with organizing and directing volunteers during donation sorting, packing, and warehouse projects.
  • Provide on-site guidance and ensure volunteers follow safety and confidentiality protocols.
  • Monitor the cleanliness, organization, and safety of the warehouse area.
  • Follow all agency safety standards and report facility or equipment issues promptly.
  • Ensure all items are stored according to safety and compliance standards.
  • Ability to drive Agency vehicles; including 15 passenger van’s, box trucks, and other vehicles (CDL not required).
  • Other duties as assigned.

Qualifications

Essential Knowledge, Skills, and Attributes:

  • Excellent organizational and time management skills with strong attention to detail.
  • Ability to lift and move items up to 50 pounds and perform manual labor as required.
  • Strong communication and interpersonal skills, with the ability to work collaboratively across departments.
  • Comfort working in fast-paced, dynamic environments with shifting priorities.
  • Proficient in basic computer applications (Microsoft Office, Google Workspace); experience with inventory management systems preferred.
  • Commitment to confidentiality, professionalism, and the mission, vision, and values of the Northwest Arkansas Children’s Shelter.

Minimum Qualifications:

  • 2+ years of experience working in a warehouse or inventory management environment.
  • Twenty-one years of age or older.
  • High School Diploma or equivalent.
  • Must pass all criminal history and child maltreatment background checks.
  • Must submit to a pre-employment drug screen, as well as random drug screens when directed.
  • Valid driver's license, proof of personal automobile insurance, and acceptable driving record required to drive shelter vehicles for shelter business.

Preferred Qualifications:

  • Experience working in a nonprofit organization.
  • Experience working with and organizing volunteers.
  • Experience working with in-kind donations and donation management.

Working Conditions and Environment/Physical Demands:

The demands described are representative of those that must be met by an individual to successfully perform the essential functions of this position.

  • Tasks may involve walking, standing, climbing, bending, kneeling, crouching, and lifting for long periods of time.
  • Ability to lift up to 50 pounds.
  • Must pass all criminal history and child maltreatment background checks.
  • Must maintain confidentiality and privacy regarding all Children’s Shelter residents' information in accordance with NWACS policy and all applicable Federal and state laws/regulations.
  • Attend and participate in mandatory training, staff meetings, and all other events, as required.
  • Set, maintain, and communicate appropriate personal and professional boundaries.
  • Complete all required documentation in a timely manner per NWACS procedures.
