Music Moves is a nonprofit organization that uses music, arts, and culture to strengthen communities through education, performances, and creative programming. We're looking for an organized, proactive professional who enjoys creating systems, keeping projects moving, and helping a mission-driven team succeed.
Position Summary
The Operations Coordinator is the organizational hub of Music Moves. This role supports day-to-day operations by coordinating administrative tasks, maintaining organizational systems, supporting events, organizing bookings, assisting with grant administration, and ensuring projects move forward.
This position works closely with leadership to keep information organized, deadlines on track, and communication flowing across the organization.
Primary Responsibilities
Administration

Manage calendars, meetings, and administrative workflows

Prepare agendas, meeting notes, and board materials

Maintain organized Google Drive files and documentation

Manage and improve operational systems
Programs & Events

Coordinate event timelines and logistics
-
Manage registrations and volunteer information
-
Track attendance and program data
-
Assign and follow up on tasks using Trello
Development & Grants

Enter grant information and maintain reporting files
-
Compile impact data and organizational metrics

Assist with donor and board reporting
Bookings & Operations

Organize venue inquiries and booking information

Coordinate contracts and event logistics

Maintain inventory records and operational checklists

Support Music Depot rentals and programming
Qualifications

Highly organized with exceptional attention to detail

Excellent written and verbal communication skills

Comfortable with Google Workspace (Docs, Sheets, Drive, Calendar)

Experience with project management software such as Trello (or willingness to learn)

Self-starter who takes ownership and follows through

Able to manage multiple priorities in a fast-paced environment
