Overview

The New Patient Coordinator performs various routine and complex clerical tasks and interacts with new patients, family members, visitors and clinic personnel in other departments to ensure positive internal and public relations.

Our pediatricians and staff have 30 years of experience caring for children. Drs. Joe T. Robinson and Terry Payton founded the Northwest Arkansas Pediatric Clinic in 1983 to provide comprehensive care for children from infancy to adolescence. Today, NWAP has 20 board certified pediatricians on staff and locations in Fayetteville and Pinnacle Hills.

Responsibilities

  • Serves as the first point of contact for new patients establishing care, creating a warm, welcoming, and informative experience by providing clear and accurate information about available care options, including appointment availability, office locations, and hours of operation.
  • Educate new patients and families on clinic policies to promote understanding and compliance.
  • Responsible for scheduling all new patient appointments in accordance with established clinic policies and provider scheduling protocols.
  • Accurately sets up new patient accounts by collecting and entering complete patient demographics, and parent/guardian information.
  • Enter insurance information and verify eligibility.
  • Answer new patient calls promptly and monitor new patient voicemail throughout the day to ensure all inquiries are returned within 24 hours.
  • Send “Welcome to Peds” email to all scheduled new patients with appointment details, clinic locations, and link to clinic website.
  • Reviews all upcoming new patient appointments to confirm completion of registration. Contact patients who have not completed registration to encourage completion and ensure a smooth, timely check-in process.
  • Initiates the transfer of medical records to ensure continuity of care.
  • Remains up to date and thoroughly understands NWA Pediatric Clinic policies.
  • Prioritizes excellent customer service, works independently with a strong sense of responsibility, and maintains exceptional attention to detail.
  • Monitors the cancellation list to maximize the booking of available wellness appointments for the following business day.
  • Assists with answering the reception phone queue during the first hour and monitors it throughout the day to help manage periods of high call volume.
  • Provides assistance and support to coworkers as needed, fostering positive working relationships with clinic staff and physicians.
  • Perform any other duties as required or assigned.

Qualifications

  • High school diploma (or equivalent) required.
  • 12–18 months of related experience (healthcare, customer service, or front desk preferred)
  • Friendly, upbeat, and professional personality – you will be the welcoming face of our clinic and the first impression for new patients.
  • Excellent communication and people skills with a natural ability to build rapport.
  • Passionate about delivering an exceptional, supportive patient experience.
  • Organized, detail-oriented, and able to manage scheduling and patient intake smoothly.
  • Comfortable multitasking in a fast-paced clinic environment.
