Position Summary

The Community Counseling Clinic Administrative Assistant – Siloam Springs is the primary administrative support for the John Brown University (JBU) Community Counseling Clinic in Northwest Arkansas (CCC-NWA), with responsibility for a wide variety of processes related to clinic operations, scheduling, billing and collections, and customer service. This position supports JBU’s Department of Graduate Counseling (DGC) in the training and oversight of counseling students placed at the CCC. This position reports directly to the DGC Clinic Director. The primary office for this position is at the CCC-NWA in Siloam Springs, AR. This is a part-time position working 17-20 hours per week on average.

Position Responsibilities

Front Desk Assistant – duties:

  • Manages and provides clinic reception services, both in person and tele/electronic.
  • Manages clinical paperwork, storage, and filing.
  • Manages billing, fee collection, and financial transactions/reports.
  • Manages and provides clinic communications, both in person and tele/electronic.
  • Manages the clinic schedule, for both clients and trainees/students.
  • Manages clinic recording system.
  • Oversees and ensures clinic cleanliness, including seasonal clinic décor.
  • Monitors and purchases clinic supplies as needed.
  • Maintains client refreshment station.
  • Manages clinic opening/closing procedures.
  • Assists and supports the Clinic Director in other duties as assigned.
  • Attends Clinical Team meetings and provides feedback and questions relevant to clinical management and oversight.
  • Communicates as needed to the Little Rock clinical team.
  • Participate in and help lead the orientation of Practicum students each semester and train students on the clinic’s EHR system.

Education

Minimum High School diploma; Bachelor’s degree preferred.

Experience and Skills

  • A minimum of one year of administrative support, secretarial experience, and/or customer service work.
  • Experience in medical/clinical settings is preferred.
  • Strong administration skills, including planning, organizing, assessing, and revising systems, processes, and procedures.
  • Working knowledge of keyboarding, word processing, and spreadsheet applications.
  • Working knowledge of, or, the ability to learn database applications, the web content management system, the administrative business system or enterprise resource planning system, and other systems or applications that may be used within the University or department.
  • Ability to operate and troubleshoot electronic office equipment, computers, and peripherals, maintain moderately complex filing systems and records, and make mathematical calculations.
  • Effective verbal and written communication.
  • Ability to train, assign work, and review the work of full and part-time employees and student workers.
  • Ability to maintain departmental financial records and accounts and prepare financial reports.
  • Ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds.

Physical demands and work environment

  • Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment: The noise level in the work environment is usually minimal.
