Our fast-paced oncology clinic is seeking a dynamic Office Operations Manager to keep our practice running smoothly and ensure every patient feels supported from the moment they walk through our doors. Highlands Oncology began in 1996 with three physicians and a desire to change the face of oncology care in our community. Dr. Malcolm Hayward, Dr. Dan Bradford, and Dr. Thad Beck knew that patients do better at home, in the community where they live and work, and where their support system is already in place. In furthering that goal, Highlands has grown with the region from a single location 26 years ago, to 6 locations in Northwest and Northcentral Arkansas today employing more than 850 diverse team members.

- Operational Excellence:
- Collaborate with leadership to align patient care goals with business objectives.
- Develop and maintain Standard Operating Procedures (SOPs).
- Ensure operational specifics are met.
- Serve as the point of contact for vendors (Mailco, Shred-it, Linens) and building management.
- Manage clinic deposits and change.
- Oversee lunch setup, cleanup, and policy enforcement.
- Maintain and stock break rooms.
- Leadership & Team Development:
- Coach supervisors towards self-sufficiency through communication and training.
- Ensure timely mail sorting and distribution, maintaining discretion for sensitive items.
- Manage the sample closet and orders from reps.
- Attend huddles and management meetings.
- Oversee employee evaluations and participate in disciplinary actions alongside supervisors.
- Complete daily reports (Phreesia, copay, wait times, Carespace).
- Ensure comprehensive front desk staff training.
- Address patient complaints and escalate as needed.
- Patient Experience & Safety:
- Maintain strict confidentiality.
- Supervise staff and act as backup when needed.
- Learn and utilize EMR and practice management programs.
- Enforce visitor policy.
- Conduct daily rounds, assess risks, and respond to emergencies.
- Maintain facility aesthetics.
- Act as a subject matter expert on emergency procedures.
- Cultivate a customer service-focused environment.
- Additional Responsibilities:
- Oversee office processes, hire/train staff, and handle disciplinary actions.
- Oversee PH building and supervisor (BCC manager).
Required Skills/Abilities:
- Multi-tasker, detail-oriented, possess strong customer service skills with the ability to keep up in a fast-paced environment, extremely flexible with the ability to interact and provide services to patients and employees
- Strong computer, problem solving, and organizational skills
- Ability to work within a team environment
- Excellent verbal communication, interpersonal, and telephone skills
- Must relate well to the public
- Adept at developing and maintaining positive working relationships with other team members throughout the organization.
- Requires a working knowledge of how the clinic flows and certain aspects of the patient’s experience
- Follows clinic policies and procedures & attends meetings as requested
- Ability to work in a fast-paced Oncology clinic
- Ability to cope in emotional environments and situations.
Education and Experience:
- High School Diploma
- 2-3 years of Oncology experience preferred
- 1-2 years of medical terminology and healthcare experience preferred
- Associates degree preferred.
Physical Requirements:
- Sitting for prolonged periods of time at a desk.
- Computer use that requires visual acuity, typing, use of mouse/keyboard, and staring at a screen for extended periods of time.
- Occasionally lifting objects of up to 25 pounds such as files, office supplies, assisting patients when needed, etc.
- Walking and standing for continuous periods around the office or clinic as needed.
- Fine motor skills for tasks like typing, writing, handling small objects or equipment and materials.
- Repetitive movements associated with office tasks and general work duties.
- Ability to physically be onsite fulltime to fulfill job duties Monday – Friday
- Must be willing and able to respond to calls outside of normal business hours when needed.
