Full job description

Highlands Oncology Group is seeking a motivated, outgoing, and driven individual to fill the opening for a CARE Clinic Scheduler. This position is responsible for coordinating and scheduling new patient referrals for a high risk breast cancer and genetics clinic.

  • Required Skills/Abilities:
    • Must possess excellent communication skills both written and verbal.
    • High attention to detail
    • Excellent people skills including, but not limited to adaptability, assertiveness, problem solving and teamwork.
    • Maintains high standard of professional performance, behavior, and appearance.
    • Proficient in use of EMR (electronic medical record)
    • Ability to perform basic functions in Excel.
    • Typing skills

Certifications/Licenses/Education/or Experience in a related field:
Graduate from an accredited Medical Assistant Program or equivalent preferred, or aptitude for the job duties and responsibilities. Patient care experience required. Clinical scheduling experience required.


Physical Requirements:

    • Lifting up to 25 pounds.
    • Sitting or standing for long periods of time

Job Duties / Responsibilities:

  • Help to coordinate a patient’s care from the time of referral, and throughout long-term surveillance plan.
  • New Patients must be scheduled within 7 business days of being received.
  • May Speak with Genetic patients prior to visit to obtain necessary medical history and pedigree. Create Pedigree.
  • Help CARE Clinic Navigator to pre-load new patient charts with patient’s medical, surgical, and social history. Must be done 1-2 business days prior to clinic.
  • Compile each new patient’s CARE Clinic folder.
  • Promptly carrying out urgent referrals/orders. Urgent referrals should be sent same visit day.
  • Follow up on all outgoing orders to ensure external clinic receives orders. Ensure patient is scheduled for diagnostic testing in a timely manner.
  • Provide education and support to patients.
  • Return patient calls by 3PM on day call comes in, appropriately triage to Refill Nurse or APP.
  • Keep APPs informed of patient progress, issues, or concerns.
  • Attend and host NWA Multidisciplinary Breast conference every other week.
