About the Role:
The Props Purchasing Associate at the eko Capture Factory is a hands-on role supporting the props department with sourcing, evaluating, and purchasing props needed for productions and stage captures. This role requires strong organizational skills, reliable data entry habits, and careful attention to detail when reviewing prop lists, receipts, and purchase needs.
Reporting to the Props Manager and working closely with the Props Leads, this role supports productions by sourcing props, managing and organizing purchase records, and ensuring all items are accurately tracked and meet creative and logistical requirements, with a strong attention to data detail.
We’re looking for a detail-oriented, creative, and dependable team player who thrives in a fast-paced studio environment. You’ll collaborate with creative and operations teams to evaluate prop requirements, handle purchasing, and maintain precise tracking and documentation that supports efficient production workflows.
What you will do:
- Assist with prop inventory by maintaining accurate labeling, organized storage, timely replenishment, and orderly systems.
- Help maintain and update prop inventory system, including check-in/check-out and condition tracking.
- Review prop lists, production notes, and item requests to determine what needs to be purchased.
- Research and source appropriate props based on creative direction, budget, and availability.
- Organize and track receipts, invoices, and order confirmations.
- Enter purchase data accurately into internal tracking systems.
- Maintain clear records of expenses and purchased items to support budgeting and accounting.
- Communicate with production teams to clarify prop requirements and timelines.
- Assist with returns, exchanges, and follow-up on outstanding orders when necessary.
- Assist with prop pulls, returns, and storage throughout the production lifecycle.
- Assist in prepping prop kits to ensure complete setup
- Organize and label prop storage to maximize access.
- Maintain clean, efficient prop areas and scalable prop check-in/check-out systems
Qualifications:
- Strong attention to detail and ability to accurately review prop needs, receipts, and purchase records.
- Comfortable organizing, tracking, and maintaining receipts, invoices, and documentation.
- Proficient with data entry and basic computer systems (spreadsheets, purchasing or inventory tools).
- Ability to evaluate prop requests and make informed purchasing decisions within guidelines.
- Highly organized with strong time-management skills and the ability to manage multiple requests at once.
- Clear written and verbal communication skills for internal team collaboration.
- Ability to follow established processes and maintain consistent, accurate records.
- Experience in purchasing, inventory management, production support, or props is a plus but not required.
- Ability to work independently while knowing when to ask questions or flag discrepancies.
- Highly organized with strong visual sensibility and attention to detail.
- Strong communicator who collaborates well across teams
- Skilled in managing, rotating, and tracking physical inventory
- Comfortable lifting and moving materials up to 40 lbs
- On-site availability required, five days/week in Northwest Arkansas; Monday - Friday, 9am - 5pm

- Skilled in data entry and maintaining accurate documentation.
- Able to prioritize multiple tasks, manage time efficiently, and work independently while collaborating with the Props Manager and team leads.
- Proactive in identifying potential issues with prop availability or inventory and suggesting solutions.
- Curious and resourceful, with a knack for finding creative or practical solutions to sourcing challenges.
- Experienced in production support, purchasing, inventory management, or props is a plus but not required.

This position pays an hourly rate of $31.00/hour. All hourly rates meet or exceed applicable state and federal minimum wage laws. This position is classified as non-exempt and is eligible for overtime pay in accordance with the Fair Labor Standards Act (FLSA).
