Compensation Range: $18.00 - $21.00/Hour

About Crystal Bridges & The Momentary:

Crystal Bridges is a museum of American art located in Bentonville, Arkansas. We explore the unfolding story of America by actively collecting, exhibiting, interpreting, and preserving outstanding works that illuminate the American heritage and artistic possibilities. Founded by Alice Walton in 2005, the museum opened in 2011 and is a public, non-profit charitable organization with free admission.

The Momentary is a new contemporary art space that opened to the public on February 22, 2020, in downtown Bentonville, Arkansas. A satellite to Crystal Bridges, the Momentary presents visual, performing, and culinary arts. The mission of the Momentary is to champion contemporary art’s role in everyday life and explore the unfolding story of contemporary American arts in an international context by actively commissioning and exhibiting outstanding works that explore new ideas and inspire action.

Position Summary:

The Donor & Museum Relations Coordinator is a key administrative and logistical support role within the Development team, responsible for ensuring efficient operations and high-quality service to donors and museum guests. Reporting to the Donor & Museum Relations Manager, this role helps deliver elevated engagement experiences by supporting departmental activities including hospitality, event execution, scheduling, communications, and concierge-level services.

The Coordinator will play a central role in organizing and maintaining donor-focused processes, including coordinating ticketing and reservation requests, preparing donor-facing materials, maintaining calendars, and supporting donor travel and event logistics. This role is ideal for a highly organized, detail-oriented individual with strong administrative skills and a passion for providing excellent service in a mission-driven environment.

Principal Responsibilities:

  • Serve as a primary point of contact for donor ticketing and reservation requests, ensuring concierge-level service.
  • Prepare and manage detailed itineraries for high-level guests, coordinating with internal staff and guest representatives to alignment with museum standards and strategic goals.
  • Support logistics and preparation for donor events, tours, and travel, including coordinating RSVPs and materials.
  • Maintain and manage a calendar of donor trips, tours, and events for Donor & Museum Relations and Development team.
  • Prepare donor-facing documents such as agendas, bios, name tags, and welcome packets.
  • Maintain accurate and timely data entry in the CRM database.
  • Support stewardship and communication efforts including donor mailings and benefits fulfillment.
  • Coordinate with internal teams to support planning and execution of donor experiences.
  • Monitor and order departmental supplies and collateral as needed.
  • Assist with processing expense reports, invoices, and budget tracking.
  • Participate in special projects and other duties as assigned.

Qualifications and Skills:

Education, Training, and Traits

  • Bachelor’s degree preferred in a related field.
  • Strong administrative, organizational, and time management skills.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite; CRM database familiarity is a plus.
  • Ability to manage multiple tasks with attention to detail.
  • Self-starter who thrives in a collaborative environment.
  • Discretion and professionalism with confidential information.
  • Strong commitment to the museum’s mission.

Work Experience

  • Minimum of 2–3 years in administrative support, hospitality, or development.
  • Experience in a nonprofit, museum, or cultural organization preferred.
  • Prior experience with events, ticketing, or calendar coordination is a plus.

  • Work Environment: Work will primarily be performed in an office setting and in Museum spaces. The noise level is generally low to moderate.
