SUMMARY

The incumbent provides administrative office support to the Assistant, Admin II and department staff. This position assists in the daily operations of the Electric department by performing a range of clerical duties. This position also provides customer service for walk-in customers.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  1. Acts as the first point of contact for the general public. Receives the public, responds to inquiries from citizens, employees, and patrons. Refers requests and inquiries to the appropriate person when necessary.
  2. Answers and routes incoming calls.
  3. Assist in maintaining filing systems and records.
  4. Composes, types, and edits a variety of correspondences, reports, memorandums, and other materials requiring judgment as to content, accuracy, and completeness.
  5. Assists in budget tracking and purchase cards for department staff.
  6. Function as back up and assist with the maintenance of the departmental webpage on the City's website. Pushing out updates on City’s social media, if needed.
  7. Assists in creating/ maintaining Street Light & Tree Crew Work Orders database.
  8. Function as back-up timekeeper and enter payroll data as needed.
  9. Other duties as assigned.

EDUCATION and/or EXPERIENCE

Applicants must possess an Associate's Degree (A.A.) or equivalent from a two-year college or technical school; two (2) years of related experience and/or training; or equivalent combination of education and experience. Must be proficient in Microsoft Office applications (Word, Excel, Power Point). Experience with customer service related functions and phone experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one­ on-one and small group situations, to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals. Ability to rate, ration and percent, draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

*Weather Essential position includes employees are declared to be all sworn police officers, all sworn firefighters, dispatchers, emergency road crew employees in the Street Department, and electrical personnel in the Electric Department.
