Essential Job Duties

- Provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of their own team), and have regular and reliable attendance that is non-disruptive.
- Handle administrative and record keeping requirements for P-card transactions, purchase orders and check requests for the Division personnel and shop equipment and projects. Maintain all payable records for the division in accordance with accepted accounting principles and assure timely payments.
- Manage all travel arrangements to include accounting and record keeping functions for all Fleet team members.
- Communicate regularly with the equipment dealers, fuel and oil suppliers, tires and parts vendors. Communicate regularly with other City departments as needed.Research and respond to warranty claims, file for and maintain records for all vendor claims while maintaining a calm and professional attitude and providing assistance.
- Maintain a current knowledge of the entire Fleet Information Management System. Enter new vehicles into the F.I.M.S. system including all warranty information as spelled out in the awarded bid for any and all Fleet equipment.
- Exercise excellent judgment in structuring and organizing work and readily adjusting work priorities to respond to work demands.Must use judgment and tact in filing for warranties and in follow up with outside vendors for payment.
- Provide Fleet managers with a monthly Parts and Vehicle Warranty Collections Report which shows collected and outstanding warranty information.Monitor and maintain Fleet Information Management System for current warranty information.
- Compose and type letters, memoranda, correspondence and other materials for Fleet Superintendent and team members. Ability to effectively prepare information for presentation to top management, Equipment Committee and/or the City Council.
- Assist Fleet Superintendent in researching special projects. Develop, type and distribute reports and special presentations.
- Monitor program contracts to ensure expenses are within the contract pricing.Maintain and perform data entry to databases for staff review and contract forms. Serve as Fleet coordinator for review of State and City fleet contracts.
- Verify all parts, labor and sublets are entered on work orders (enter costs if necessary). Check work order for warranty claims before work order is closed.
- Receive inventory into Fleet Information Management System; perform cycle counts on a percentage of receipts to verify items are on the shelf.
- Manage fuel inventory at multiple Fleet fueling locations: order fuel as needed, calculate cost after each delivery, update cost in automated fuel management system, maintain fuel management system.
- Assist Fleet Services Support Manager when required. Perform any duties necessary in the absence of the Manager.
- Assist with annual inventory count.

Minimum Qualifications

- High School Diploma or equivalent and five years of related experience required or Associate's degree (A.A.) from two or four-year college or technical school and four years of experience.
- Effectively communicate with others orally and in writing.
- Valid Driver's license.
- Able to work under pressure with frequent interruptions and with occasional tight deadlines to accomplish assigned responsibilities.
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Needs the ability to compute rate, ratio and percent.
- Must be proficient in the use of a computer and related software programs such as word processing and spreadsheet applications. Must be able to effectively operate standard office equipment.
- Experience using a vehicle management system is required.
- While performing the functions of this job, the employee is regularly required to sit, stand and move from location to location. Must be able to regularly use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch. The employee must frequently lift and/or move up to 25 pounds. Specific vision abilities to accomplish computer and office work.
- While performing the functions of this job, the employee is occasionally exposed to moving mechanical parts; fumes or airborne particles; toxic or caustic chemicals and outside weather conditions.
