Monday - Friday, 8:00 a.m. - 5:00 p.m. — On-premisesThe Release of Information Specialist is responsible for processing information requests from various sources, such as patient, internal, legal and third party requests. They are responsible for ensuring correct releases are obtained to comply with all federal and state regulations related to releasing information. They are responsible for assisting with all front office duties, and ensuring accuracy of all releases to avoid breach of confidentiality. They are also responsible for My Chart set up for patients/families.

Description
1. Provide excellent customer service by promptly address customer concerns and assist with questions. Ensure understanding of customer needs and assist with completion of authorization for release of health record. If there are issues, promptly inform management and provide follow up to patient. Demonstrate helpful and effective telephone etiquette and customer service skills by providing appropriate information to callers. Return all voice mails as quickly as possible.
2. Validates all authorizations are appropriate and ensures they comply with federal, state and organization regulations. Opens all mail, date stamps the mail and highlights pertinent data to facilitate processing. Validate the right of the requestor to receive the information (parent, guardian). Verify the existence of records for the patient, looking them up in Epic and placing the medical record number and account number/s on the request. Validate the request and send to other departments as necessary to obtain elements not maintained in the record (photos, videos).
3. Process all requests for health information according to guidelines and within timeline requirements for responding to medical record requests. Analyze the request and determine what health information is pertinent to the request, ensuring that minimum necessary requirement are adhered to at all times. Screen health records to ensure sensitive information is only released when authorized by the proper department or for legal purposes.
4. Process valid subpoenas and court orders according to policy. Ensure a court order is provided for sensitive information. Ensure receipt of proper legal documentation for cases of guardianship, adoption and name changes. Returns non-compliant requests to the requestor with authorization requirements. Send letters to alert requestors when no records exist.
5. Complete quality checks for all releases. Review the accuracy of the documents and ensure they reflect the details specified by the requester. Perform quality checks on all work to assure accuracy of the release and confidentiality before sending. Ensure all requests are handled securely. Ensure the records are release in the format requested. Maintain daily production statistics to ensure proper staffing levels and workflow requirements.
6. Order office supplies, maintaining stock within budget limits. Assist with organizing office events and maintaining office documents as necessary. Prepares invoices for release of information as applicable by release type.
7. Answer all My Chart emails, and set up pateints/families as needed. Assist with issues for My Chart set up and navigating My Chart. Provide excellent customer service to families in order to help them get My Chart working properly in order to help them with appointments, paying bills, getting information and communication.
8. Performs other duties as assigned.
